Operations manager - Full time - Application deadline 8 May 2008

PPA, the association for publishers of consumer, customer and business media in the UK, is seeking an Operations Manager. PPA's 350 members publish some 3,000 consumer, customer and business and professional magazines in addition to their online activity, plus directories, newsletters, conferences and exhibitions.

Location: WC2

The position is focussed on ensuring the effective administration of PPA, its staff and offices, ensuring that the Association operates efficiently and within expenditure budgets.

Successful applicants will be proactive, have excellent interpersonal skills, be well organised with attention to detail and should also be numerate.

Key activities:

  • Be responsible for efficient operation of reception, administrative support group, machine room, kitchens and meeting rooms.
  • Be responsible for safety and security and the maintenance of the offices in good, clean and tidy working condition within agreed budgets.   Oversee the management of leases.
  • Be engaged in the forthcoming rent review and in exploring possibilities for refurbishment/replanning or relocation
  • Ensure good communication with landlords and be first point of call with any office related query.
  • Liasing with relevant department directors and HR support company, monitor staff appointments and departures to ensure correct information given and procedures followed including issuing of job descriptions/targets upon appointment.  Implement induction/introductory training programme for all new staff.  Maintain holiday rotas and sickness records, identifying possible problem areas and maintain training plan/register. 
  • Ensure PPA has all systems in place to retain Investors in People certification and maintain required standards of record-keeping/documentation thereafter.
  • Ensure maintenance/replacement/updating of all equipment within agreed budgets. 
  • Ensure cost effective ordering of all supplies ensuring adequate stocks are held with minimum waste and minimum opportunity for "shrinkage" of consumables
  • Be responsible for insurance policies and any potential claims.
  • Review and maintain office refurbishment
  • Assist with preparation of agendas for Audit Committee and Board with CEO and Chairman and circulation with all supporting papers not less than seven days before meetings.
  • Attend meetings with CEO as required and produce notes of the meetings.
